PP Meeting:

The elaboration of the term PP is a pre-production meeting that is held just before the production starts. This meeting is a vital one for all the parties involved. All kinds of amendments i.e. addition, deduction, rectification, etc. are easily accepted if the buyer approves. The meeting comprises various discussions, especially for every ins and outs of the garment which is to be manufactured or started manufacturing.

After final confirmation from the buyer especially for the date of production, the PP meeting (Preproduction Meeting) is arranged. The meeting is arranged to comprise the merchandiser(s), production representatives such as GM, PM, QM, technical personnel, and pattern/sample personnel on behalf of the factory. On the other hand, on behalf of the buyer or buying a house generally the concerned merchandiser(s), quality team, production coordinator, and/or the top-level management.

Generally, the below-mentioned items are to be carried/presented in the pp meeting.

  • The approved swatch.
  • The master pattern and the grading ones if there are available.
  • The size set samples i.e. all size garments for the order having all actual measurements. The size set samples may be the complete size sets or jumping size sets. Complete size set means all the sizes of the garments and jumping size set means the sizes skipping one and considering the subsequent. For example, an order having 7 sizes as;

S, M, L, XL, XXL, XXXL, XXXXL. The complete size set is all the sizes and the jumping size set is S, L, XXL & XXXXL.

  • The pp sample (manufactured especially).
  • The proper production schedule.
  • All the documents (production-related).
  • Other items as for poly, carton for final approval for bulk production. If necessary, the layout of the carton and poly is reconfirmed in the pp meeting.

After the meeting is held all the comments (pp comments) are strictly clearly denoted with adequate explanation and if any complexity is found the counter-question is easily well come. In case of any special rectification of the garments, the special portion is highlighted to realize easily and fruitfully by all. If any redesign in case of any particular parts of the garment is required generally Marker pen-black (except black color fabric) and marker pen-white for black or similar (black related color) is used to reshaping or writing the especial comments on the garments.

If the items or the garments submitted in the pp meeting are not ok by the buyer the samples should be again made if the Master L/C date allows and the buyer approves.

One thing that is always taken into consideration is that the sample making must be volatile as the sample should have the characteristics of being supported and attracted.

However, some buyers want to proceed with bulk production after the pp meeting and some are inclined to test the raw materials used for the garments.

Raw materials Pick Up for Testing:

Just before the bulk production, some buyers want to be sure about the physical condition of the raw materials to be used for production.

In the case of various parties, the systems are various. The raw materials pick up may be done by the buyer nominated buying a house or by a third party.

For the before mentioned example of the PO sheet i.e. for DESTRA, LIDDLE- Germany is nominated for raw materials pick up and inspection.

Every item used for garment making is inspected by the inspector if they are available. The main stress is given to checking the fabric quality, the accessories to be used, the threads to be used, and the mechanism sued for quality maintenance and protection of the raw materials.

The raw materials testing may also include some additional procedures for the

  • Fabric; whether it is well in wrapping, grain, shading, cuttable width, etc.
  • Metal items accessories: the buttons, zippers, and rivets are ok or not.
  • Thread: the thread is in approved color shading having required strength or not.

Various buyers practice the raw materials pick up in various ways. Some buyers inspect by picking up the raw materials at their office or their respective liaison office or by buying houses adopting sophisticated mechanisms in testing. Some buyers who generally practice involving the third party to conduct all kinds of inspections, to actualize the same (raw materials testing) manipulate the inspection of every essential item according to the specified manner or system. Raw materials testing may be mandatory for many buyers while some do not do so because of the belief of the supplier. However, the question of the expected quality of every item must be according to the buyers’ specification and if any further discrepancy is found, the buyer may proceed on claiming if the purchase order sheet or any other document(s) sustains the same.  The result of raw material testing is given as soon as possible to accelerate the production.
